Comparison
AI receptionist vs hiring another front-desk person
This is the comparison most vendors get wrong by pretending it is a replacement decision. It is not. A front-desk hire does a dozen things an AI cannot, and an AI covers the hours a hire cannot. The honest framing is which problem you actually have: too few hands during the day, or nobody on the phone outside it.
| Cart Gaze | hiring another front-desk person | |
|---|---|---|
| Cost | A flat monthly fee with setup stated up front. | Salary, payroll tax, benefits, cover for leave and the cost of recruiting again if they leave. |
| Hours covered | Every hour, including nights, weekends and the lunch hour when the desk is empty. | Their contracted hours, minus leave and sickness. |
| In-person patients | Nothing. It cannot greet anyone, take a payment at the desk or calm a waiting room. | The entire job, and the part that actually shapes how a practice feels. |
| Judgement | None by design. It follows the rules it was configured with and escalates anything else. | Judgement is why you hire a person. |
| Simultaneous calls | Unlimited. Everyone gets answered at once. | One at a time, and the second caller hears a ring or a hold. |
| Ramp-up | Configured and QA'd before go-live, then consistent from the first call. | Weeks to months, and the learning is lost if they leave. |
| What it frees up | It takes the routine calls off the desk so your team can do the work in front of them. | Adds a second pair of hands to everything, not just the phone. |
When hiring another front-desk person is the right call
- Your bottleneck is the front desk itself: check-in queues, payments, patients waiting.
- You need someone who can exercise judgement about individual patients.
- You are growing into a second location and need on-site coverage regardless.
- Your call volume is low and the phone is not actually the problem.
When we are the right call
- Calls are being missed outside opening hours, when no hire will be at the desk anyway.
- Your existing team is competent and simply cannot reach the phone during clinic.
- You want coverage without adding headcount you would have to keep filled.
- You want the same answer every time rather than one that depends who picked up.

with a number attached
Every row above is a judgement until you know how many calls you are actually missing. The audit works that out from your own numbers, and if it does not justify a build we will say so.
